FAQ
Questions worth asking first
Straight answers to what mills ask before they sign up, including where Provendry stops.
Getting started
- Do I have to load all my ingredients and formulas before I can tell whether this works?
- No. Every new account starts with a full sample mill already in it — formulas, ingredients, customers, and a year of orders — so you can price a formula, run an order, and print a tag on day one. When you're ready, clear the sample data in one click and start on your own.
- How do I get my existing formulas and ingredient list in?
- Two ways. Do it yourself: there's no bulk file import yet, but the spec sheet reader does the tedious part — upload a supplier's PDF or a photo and it reads the nutrient values, converts them into your units and fills in the form. Or have us do it: we'll type your ingredients and formulas in for you as a one-off service, $499 USD ($689 CAD).
- Is there anything to install?
- No. It runs in a browser on whatever you already have — the office desktop, a laptop, a tablet out at the mixer or the phone in the truck. Everyone on your team sees the same orders at the same time, and there are no per-seat charges to make you ration logins.
- Does it work on a phone?
- Yes. It runs in the phone's browser, and every list turns into cards that fit the screen. You can add it to your home screen so it opens like an app. The driver's delivery screen keeps working when the signal drops, once the day's loads have loaded. There are also Provendry apps for iPhone on the App Store and for Android on Google Play; you sign in to it with your Provendry login.
- What help is there if I get stuck?
- A help center written for feed mills is built in, with instant search, and you can ask it a question in your own words. If that doesn't answer it, open a support ticket from inside the app and a person answers. If you'd rather have someone on site, on-site training is available as an optional service.
Pricing and billing
- What happens when the trial ends, or if I cancel later?
- The trial runs 7 days and needs no card to start. If you don't subscribe, your account pauses. Your data is kept for 12 months, and adding a card restores it. Canceling works the same way, from your billing page, with no phone call and no contract to run out.
- We run more than one mill location. What does that cost?
- Your first location is in the $199 USD a month ($1,990 USD a year), or $269 CAD a month ($2,690 CAD a year) for a Canadian mill. Each additional mill location is $50 USD a month or $500 USD a year on top ($69 or $690 CAD), up to five locations; past that, talk to us. It is all one bill for the whole mill. Everything else stays the same — the same unlimited users, the same features, one account covering every location, and reports that roll up across all of them or break out per location. There is no per-seat charge at any number of locations.
- Do you charge per user?
- No. Add everyone who works at the mill — the office, the floor, the counter, the drivers. The price is the same whether that's two people or forty.
- Are there setup fees?
- No required ones. Provendry is built to set up on your own, and every trial starts with a loaded sample mill to learn on. If you'd rather hand the work to us, there are two optional one-time services: we move your data in ($499 USD / $689 CAD), or come to your mill to train your team ($1,500 USD / $2,069 CAD a day, plus $750 USD / $1,039 CAD per travel day). Separately, if you want customers to pay you online, connecting your Stripe account is a one-time $49.99 USD setup, free for mills in Canada.
- We're a Canadian mill. What do we pay?
- Canadian mills are billed in Canadian dollars: $269 CAD a month, or $2,690 CAD a year (two months free), with each additional location $69 CAD a month or $690 CAD a year. It's a set price, not a conversion, so the bill doesn't move with the exchange rate. Everything else is the same: every feature, unlimited users, no contract. Your account works in kilograms and tonnes, prints bilingual CFIA tags, and invoices your own customers in Canadian dollars with GST/HST.
- Can my customers pay me through it?
- Yes. A sent invoice can carry a link the customer opens without an account, and they can pay it online by credit card or bank transfer. The money goes straight to your own Stripe account, not ours. Turning it on is a one-time $49.99 USD setup (free for mills in Canada), and after that Provendry adds no fee and takes no cut of any payment. Stripe charges its standard processing fees, the same as it would anywhere else. Customers who pay the driver at the farm are covered too: the driver records the cash or check on the delivery, and the office confirms it onto the account.
Formulation and feed tags
- Does it do least-cost formulation?
- Yes, two ways. Least-cost mode finds the cheapest mix that meets your nutrient spec, then tells you which limit is costing you money and how much. But least-cost alone can quietly turn a formula into something your customers wouldn't recognize, so there's a second mode that keeps the ratios you built and just nudges them to hit the target. Use whichever fits the formula.
- Will the tags hold up to a feed control inspection?
- Provendry builds the tag from the formula itself: product name, the purpose statement, guaranteed analysis with the rows AAFCO requires for that species, ingredient statement, feeding directions, your own precautionary wording, net weight, and your manufacturer address. Canadian accounts get the CFIA format with bilingual text instead. You review every tag before it prints — the system does the assembling, you do the approving.
- Do you handle medicated feed?
- Not yet, and we'll tell you exactly where the line is. Medicated feed is being finished now: marking which ingredients your mill treats as medications, flagging any formula that contains one through ordering, production and onto the tag, and, for US mills, recording a customer's Veterinary Feed Directive. What Provendry will not do is supply the drug list, decide withdrawal periods, or write the required label statements. That's regulatory wording about a specific product and we won't invent it, so your own approved wording goes on the tag. Canadian medicated feed follows different rules again and is not built.
- We charge less by the ton than by the sack. Can it do that?
- Yes, two ways. You can set a different rate at different load sizes — one price from a ton up, another from a thousand pounds — and the order prices itself when the quantity is typed. Or you can sell by the package outright: define your bags, sacks and totes in your own words and weights, put a price on one, and a sack is that price whatever it weighs. The invoice then reads "3 Sacks @ $95.00" rather than a per-pound rate your customer would need a calculator to check.
- We work in kilograms. Does that work?
- Yes. You pick your country when you sign up and the whole system follows it — weights in pounds or kilograms, tons or tonnes, prices per unit, nutrient units, and which label rules apply. Nothing is converted on the fly or shown in units you don't use.
Orders, inventory and invoicing
- Does it keep track of what I have in stock?
- Yes, and it does the arithmetic. Start a batch and the ingredients it needs come off the shelf automatically, scaled from the formula to the size of the order. Before that happens you're told whether you're short — which ingredient, and by how much — so you find out while you can still do something about it, not halfway through mixing. Cancel a run and the stock goes back.
- Can it trace a recall?
- Yes. Every delivery you receive is booked in as a lot, and every batch records which lots it drew from. Type in a supplier's lot number and you see every customer, order and bin that got it, and how much. Or start from an order, or the lot code printed on a bag, and trace back to every ingredient lot that went into it. Either way, print the report for the inspector.
- Does it work with QuickBooks?
- It exports your invoices in a file you can import into QuickBooks. There's no live connection that syncs the two on its own.
- Does it handle sales tax, or GST and HST?
- Yes. Set your tax rates once, mark customers or individual invoice lines as tax-exempt, and every invoice works out the tax. Canadian accounts show GST/HST and your registration number on the invoice.
- We haul with outside trucking companies. Can it handle freight?
- Yes. Add the companies you use and their rates, pick one on the order, and the freight is priced into the load. Each feed on the truck is assigned to its compartment and the bin it empties into, and the hauler and compartments print on the paperwork.
- Can my customers place orders and check on them themselves?
- Yes. Invite a customer to their own portal and they can place an order, see where it is — queued, in production, out for delivery — and open their invoices, without calling the office to ask. They only ever see their own account.
Your team and your data
- Can I control what each person can see and do?
- Yes. Each job starts from a seat type — office, production floor, delivery driver, administrator or read-only — and you decide who can change prices, formulas, orders, stock, customers, invoices or the team. Those limits are enforced by the database, not just by hiding buttons.
- Can other mills see my formulas?
- No. Every account is walled off at the database level, not just in the interface — a query from one mill physically cannot return another mill's rows. Your formulas are the business; they're treated that way.
- Can I get my data out?
- Yes, any time. An administrator can download everything from Settings: customers, ingredients, formulas, orders, invoices, payments, stock and the audit log, as spreadsheet files one at a time or all together in one download. It's your mill's data, not ours.
